Bring a representative enquiry

Use fictional customer details and a sample of the items you normally quote. Ask the presenter to take that enquiry from its source and assigned owner through follow-up, quotation and a recorded outcome. Include an overdue follow-up so you can see how the team finds work that needs attention.

  • Record the source and owner
  • Set and find the next follow-up
  • Move the lead through your stages
  • Find the activity history

Change the quotation during the demo

A first draft is only part of the work. Change an item, quantity or discount and check the resulting totals and customer document. Ask how revisions, approval permissions and rejected quotations are handled. If tax or currency rules matter to your business, bring examples and confirm support rather than assuming it.

  • Review item descriptions and images
  • Verify totals using your sample
  • Check who can approve or change a quotation
  • Inspect the PDF a customer would receive

Identify what sits outside the product

A quotation workflow does not automatically include stock control, invoicing, accounting or message delivery. List the systems you need to connect and ask which connections already exist. Separate included capabilities, scoped customization and future plans in your evaluation notes.

Settle the deployment and commercial questions

Before ordering, request written confirmation of the licence or subscription model, currency, implementation and recurring charges, renewal and cancellation terms. Agree who prepares existing data, sets up users, trains the team and accepts the rollout.

Confirm hosting, data ownership, export options, backup and recovery responsibilities, and support hours. A good evaluation ends with a list of demonstrated capabilities, remaining gaps and a clear scope; it does not need an invented savings estimate.
